The Work Entries - Enterprise module extends the basic Work Entry module with advanced Gantt interface, helping manage and track work entries more visually. This interface automatically displays employees with contracts but no work entries, provides progress bars comparing actual hours with expected hours.

Access Gantt View

Steps

  • 1. Go to Payroll → Work Entries

  • 2. Switch to Gantt view (timeline icon)

  • 3. Select time period to view

  • 4. Group by Employee to view by employee


Group by employee

When grouped by Employee, the interface displays:

  • • Including employees without work entries

  • • Each row is one employee

  • • Colored bars represent work entries

Employees with work entries

Employees with work entries will display:

Employees without work entries

Module automatically displays employees with contracts but no work entries. Employee row still appears in Gantt but without work entry bars. This helps easily detect employees missing data.


Progress Bar

Progress bar displays completion ratio between actual hours and expected hours.

Key points

  • • Current value: Total hours with work entries

  • • Maximum value: Total expected hours (from work schedule)

  • • Percentage: Completion percentage

  • • 40h: Hours with work entries

Unavailable time

Unavailable time is when employee is not working per schedule: outside work hours (evening, night), weekends, public holidays, time periods without work schedule.

Key points

  • • Display on Gantt: Unavailable time is shaded gray or has special pattern

  • • Helps distinguish work hours and rest hours

  • • Easily identify work entries outside hours


Handle flexible schedules

For employees with flexible work schedules:

  • • No unavailable time displayed

  • • Consider employee always available

  • • Suitable for freelance workers


Handle multiple work schedules

If employee has multiple work schedules in time period:

  • • System calculates each period per corresponding schedule

  • • Merges unavailable periods

  • • Displays accurately per phase


Gantt View tips

Key points

  • • Regular checks: View Gantt weekly to detect employees missing work entries

  • • Before payroll: Check progress bar, ensure 100%

  • • After creating entries: Confirm on Gantt to ensure no conflicts

  • • Filter employees < 100%: Prioritize employees missing entries

  • • Check employees > 100%: Detect errors or overtime


Detect issues

Key points

  • • Empty row: Employee has contract but no work entries

  • • Gray bar: Work entry with conflict needs handling

  • • Bar outside hours: Work entry in unavailable time

  • • Abnormal progress: Too high (>120%) or too low (<50%)


Optimize performance

Key points

  • • Select reasonable time period: 1-2 weeks to avoid loading too much data

  • • Use filters: Limit number of employees displayed

  • • Group by department: If many employees

  • • Avoid viewing entire month: Split into weeks for faster viewing


Work with flexible schedules

  • • Flexible schedule employees have no unavailable time

  • • Check work entries based on actual attendance

  • • Do not rely on progress bar for flexible schedule employees

  • • Use List View to check details
