Communication and collaboration hub in Odoo

The Discuss (mail) module is the communication and collaboration center of Odoo. This module provides direct messaging and internal group chat, public or private discussion channels, chatter integrated on all business documents, and compose and send emails from any document with mass mailing support.

Discuss also manages email templates with dynamic content, tracks activities with deadlines and assignees, provides a follower system with notification preferences, and records field change history directly in chatter.

Interface & Main Menu

Access the module from the main application bar and select Discuss. The interface includes Inbox for messages requiring action, Starred for important messages, History for all received notifications, Direct Messages for 1-1 chat, Channels for group channels, and Configuration for administrators.

Direct Messages

Create private conversations with colleagues or small group chats.

Key points

  • You can select multiple people to create a group direct message.

Steps

  • 1. Go to Discuss → click the + icon next to Direct Messages.

  • 2. Search for colleague name → click Open.

  • 3. Type message in the compose box → press Enter or click Send.


Create Channel

Channels are group discussion spaces organized by topic or project. There are 3 types: Public (everyone can join), Private (invite-only members), and Direct Message (1-1 or small group chat).

Steps

  • 1. Go to Discuss → click + next to Channels.

  • 2. Enter channel name → click Create and join.

  • 3. Invite members via the Invite People button.

Channel Features

Key points

  • Pin Message: right-click on message → Pin to pin important messages.

  • Reactions: click emoji icon on message to react.

  • Reply: click Reply on message to reply directly.

  • Star: click star icon to save to Starred.

  • Mute: click bell icon → select mute duration.


Chatter - Document Discussion

Chatter is the discussion section integrated at the bottom of each business document (Orders, Invoices, Applicants, etc.). There are two types of messages: Send Message (sends email to followers, displayed in light color) and Log Note (internal note, displayed in yellow, no external email).

Key points

  • @mention: type @name to notify specific user.

  • #channel: type #channel name to link to Discuss channel.

  • Attach files: drag & drop or click paperclip icon to attach documents.

  • Tracking: all field changes automatically logged in Chatter with format "Field name: Old value → New value".


Compose & Send Email

Compose email from document by opening document → Chatter section → click Send Message. You can apply email template to automatically fill content with data from current document.

Mass Mailing

Use when sending the same content to multiple records.

Steps

  • 1. In document list → check multiple records.

  • 2. Action → Send Email.

  • 3. Select or compose template → click Send.


Email Templates - Create Template

Email Templates allow creating reusable email templates with dynamic content. Templates support dynamic expressions (placeholders) to insert data from documents.

Steps

  • 1. Go to Discuss → Configuration → Email Templates.

  • 2. Click New to create new template.

  • 3. Fill in Name, Applies To (document model).

  • 4. Enter Subject and Body with dynamic expressions if needed.

  • 5. Click Save to save template.

Dynamic Expressions in Email Templates

In Subject and Body, you can use dynamic expressions to insert data from documents. Expressions use QWeb/Jinja2 syntax.

Key points

  • {{ object.partner_name }} → Applicant / partner name

  • {{ object.email_from }} → Applicant email

  • {{ object.job_id.name }} → Job position name

  • {{ user.name }} → Sender name (current user)

  • {{ company.name }} → Company name


Activities

Activities are deadline-based tasks assigned to specific users. Each activity has a type (Email, Call, Meeting, etc.), due date, and assignee.

Steps

  • 1. Open document → Chatter section → click clock icon Schedule Activity.

  • 2. Select Activity Type (Email / Call / Meeting / Upload Document).

  • 3. Fill in Summary, Due Date, Assigned To.

  • 4. Click Schedule to create activity.

Complete Activity

When completing an activity, the system logs it in Chatter with feedback and the person who completed it.

Steps

  • 1. In document → click activity icon (color matches status).

  • 2. Click Mark Done.

  • 3. Fill in Feedback if needed → Done.


Followers & Notifications

Followers receive email notifications when there are new messages on the document. The system automatically adds the document creator, @mentioned users, and activity assignees to the Followers list.

Key points

  • Customize notification types: click pencil icon next to follower name → check/uncheck desired Subtypes (event types).

  • Unsubscribe: users can unsubscribe themselves with the Unsubscribe button, or Administrator can remove from Followers list.

Steps

  • 1. Open document → Chatter section → click Add a Follower.

  • 2. Search for colleague or partner → select → Add.


Search & Filter

In Discuss, use Inbox to view messages requiring action, Starred for marked messages, History for all notifications. Click the magnifying glass icon in channels to search old messages.

Key points

  • Filter Email Templates: My Templates, Active, Applies To (by model).

  • Group By: Applies To (Model), Owner.


Practical Tips

Key points

  • Use dedicated channels by department or project instead of mass direct messaging — easier to manage and reference.

  • Use @mention when you need specific response, avoid generic questions in busy channels.

  • Pin important messages (decisions, deadlines) so channel members can easily find them.

  • Use Log Note instead of Send Message when only recording internal information — avoid unnecessary customer emails.

  • Always fill in Subject when sending email from chatter so email displays clearly in recipient inbox.

  • Enable Auto Delete on mass email templates to avoid filling database.

  • Create templates for all regularly sent emails to ensure consistent content.

  • Always Preview with real data before using template in mass campaigns.

  • Set realistic Due Date for activities — overdue activities show red and are easily overlooked.

  • Always fill in Feedback when completing activity — this information logs to Chatter and helps other members know the result.

  • Add important stakeholders as Followers so they receive automatic notifications without manual email forwarding.

  • Check Inbox regularly instead of relying only on email — many important notifications go to Inbox first.
