Create purchase orders from projects

Creating purchase orders directly from projects or tasks links procurement costs with specific work items, ensuring accurate budget tracking.

Key points

  • Purchase orders automatically link to projects and tasks, costs are recorded to the correct work items.

  • Multiple purchase orders can be created for one project, each serving different tasks or phases.

  • Supports blanket orders for long-term projects with recurring procurement needs.

  • Integrates with approval workflows: large orders may require approval before confirmation.

Steps

  • 1. Open the project requiring purchases from the Project menu.

  • 2. Click "Create Purchase Order" button or go to the "Purchases" tab.

  • 3. Select vendor from the list or create new.

Integration with approval workflows

Set up purchase order approval workflows by value or product type, ensuring strict cost control.

Key points

  • Configure approval rules: orders > $10K need project manager approval, > $50K need director approval.

  • Automated workflow: send approval requests via email, system notifications, track status.

  • Approvers view complete information: project, task, remaining budget, purchase history.

  • Supports multi-level approval: team lead → project manager → director, based on order value.

Tips for effective usage

Best practices to optimize procurement workflows and control project costs.

Key points

  • Always assign analytic accounts when creating purchase orders so costs are allocated to correct projects.

  • Use product categories to classify costs: materials, equipment, services, for more detailed reporting.

  • Set up vendor pricelists for regular suppliers, automatically apply preferential prices.

  • Create purchase agreements for long-term projects, ensuring stable prices and delivery priority.

  • Review draft orders periodically, confirm or cancel orders no longer needed.

  • Use tags to mark urgent, important orders or by theme.

  • Configure automatic emails: notify when orders are approved, goods received, bills need payment.

Common troubleshooting

Common issues when using Project Purchase and solutions.

Key points

  • Costs not showing in project: Check analytic account is correctly assigned in order/bill, confirm bill is in Posted status.

  • Cannot create purchase order from project: Check user permissions (Purchase User), Project Purchase module installed and activated.

  • Budget not updating: Ensure budget line created for analytic account, check budget period matches cost occurrence time.

  • Bill not linked to order: Create bill from "Create Bill" button in order instead of manual creation, or select correct purchase order when creating bill.

  • Budget alerts not working: Check alert configuration in Settings → Analytic Accounting, ensure email notifications enabled.

  • Cost reports inaccurate: Review unconfirmed bills, check analytic distribution, refresh report cache.
