ESG HR Fleet - Employee Commuting Emissions
Integrate ESG, HR, and Fleet to track Scope 3 emissions from employee commuting.
ESG HR Fleet auto-calculates carbon emissions from employee commuting based on home-to-office distance, assigned vehicles, and working days.
Supports Scope 3 - Employee Commuting reporting per GHG Protocol with data from HR and Fleet.
Key Features
Key points
• Auto-calculate emissions from employee commuting.
• Track home-to-office distance for each employee.
• Use assigned vehicle data from Fleet.
• Configure weekly office attendance days.
• Create emission records for ESG reporting.
• Check emission conflicts to avoid duplicates.
Core EN/VI Terminology
| Fields | Trường dữ liệu | Description |
|---|---|---|
| Employee Commuting | Đi lại của nhân viên | Emissions from home-to-office travel. |
| Weekly Office Attendance | Số ngày làm việc tại văn phòng | Average days per week employees work at office. |
| Emissions Period | Giai đoạn phát thải | Time period for emission calculation. |
| Conflicting Emissions | Phát thải xung đột | Existing emissions in same time period. |
Configure Weekly Office Attendance
Office days directly affect emission calculation: Emissions = Distance × 2 × Days × (Office days / 7) × Vehicle CO₂ factor.
Steps
1. Go to ESG → Configuration → Settings.
2. Find Weekly Office Attendance section.
3. Enter average days per week: 3 days (default), 5 days (full-time), 0-1 days (remote).
4. Click Save to store configuration.
View Employee Commuting Report
Steps
1. Go to ESG → Collect → HR → Employee Commuting.
2. View Pivot table: Rows = Job Position, Columns = Driver.
3. Check columns: Driver, Vehicle, Date, Date To, gCO₂/km, km, tCO₂.
4. Filter by driver, vehicle, or company for specific data.
Create Commuting Emissions
Key points
• If conflicts exist, system shows Conflicting Emissions list.
• Choose different time period or view conflicting emission details.
• Record is marked is_fleet = True to track origin.
Steps
1. Go to ESG → Collect → HR → Employee Commuting.
2. Click Add Emissions on toolbar.
3. Select Emissions Period (start date) and Date End.
4. System auto-calculates total emissions and checks conflicts.
5. Click Save to create emission record.
Emission Calculation Formula
Emissions (tCO₂) = Distance × 2 × Days × (Office days / 7) × CO₂ factor / 1,000,000.
Calculation Example
| Component | Value | Note |
|---|---|---|
| Distance | 15 km | Home to office |
| × 2 | 30 km | Round trip |
| Days | 30 days | Period 1-30 April |
| Office days / 7 | 3/7 = 0.43 | Setting 3 days/week |
| CO₂ factor | 120 gCO₂/km | From vehicle info |
| Result | 0.0154 tCO₂ | 15 × 2 × 30 × 0.43 × 120 / 1M |
Required Data
Data Requirements
| Data | Source | Required |
|---|---|---|
| Home distance | HR Employee | Yes |
| Assigned vehicle | Fleet Vehicle Assignation Log | Yes |
| Vehicle CO₂ factor | Fleet Vehicle | Yes |
| Office attendance days | ESG Settings | Yes |
Best Practices
Key points
• Update distances: Ensure all employees have home distance configured.
• Assign vehicles: Assign vehicles to employees in Fleet module.
• CO₂ factors: Ensure all vehicles have emission factors.
• Create periodically: Generate emissions monthly/quarterly/annually.
• Handle changes: System auto-calculates based on vehicle assignment periods.
• Protect privacy: Only Fleet Manager+ can view data.
