Check and manage expired materials in manufacturing processes

The Manufacturing Expiry module automatically checks for expired materials during production, prevents accidental use of expired materials, and requires confirmation before proceeding.

Requirements

  • Material products must be configured with lot/serial number tracking

  • Material products must have "Use Expiration Date" enabled


Expiry Check Process

The system automatically checks for expired materials at critical points in the manufacturing process.

Key points

  • When clicking Mark as Done button on manufacturing order

  • When recording production on workorder

  • When at least one lot/serial number of material is expired or in alert period

Confirmation Screen

When expired materials are detected, the system displays a wizard with detailed information.

Key points

  • Single expired lot: Shows product name, lot name, and expiration date

  • Multiple expired lots: Shows table with product, lot/serial, and expiration date

  • User can Cancel to go back or Confirm to proceed

After Confirmation

Steps

  • 1. System sets context skip_expired = True.

  • 2. Calls button_mark_done() or record_production() again.

  • 3. Skips expiry check the second time.

  • 4. Completes production normally.

  • 5. Records use of expired lot in history.

Configuring Alert Time

Alert time is configured on the product to control when the system starts warning.

Steps

  • 1. Go to Inventory → Products → Products.

  • 2. Open the product to configure.

  • 3. Go to Inventory tab, Traceability section.

  • 4. Configure time fields.

Effective Material Management

Key points

  • Check before production: Always check material expiration dates before starting production

  • FIFO (First In, First Out): Use materials received first to avoid expiration

  • Configure Alert Time properly: Set alert time early enough to have time to handle

  • Regular monitoring: Frequently check reports for lots about to expire


When Receiving Expiry Alert

Handle properly when receiving expired material alerts.

Key points

  • DO NOT ignore alerts without checking

  • DO NOT confirm using expired lots if uncertain

  • DO NOT use expired materials for direct consumption products

  • DO check actual expiration date of the lot

  • DO consult management/QC if uncertain

  • DO replace with valid lot if possible


Handling Expired Lots

Steps

  • 1. Stop production: Click Cancel in confirmation wizard.

  • 2. Check warehouse: Find replacement lot that is still valid.

  • 3. Change lot: Return to production screen, select different lot.

  • 4. Update BOM: If frequently encountering issues, consider adjusting Bill of Materials.


Reporting and Tracking

Track use of expired lots for analysis and process improvement.

Steps

  • 1. Go to Inventory → Reporting → Stock Moves.

  • 2. Filter by Product (product to check).

  • 3. Filter by Lot/Serial Number (expired lot used).

  • 4. Filter by Date (time period to view).

  • 5. Export report for analysis.

  • Train employees: Ensure employees understand the importance of checking expiration

  • Clear procedures: Establish procedures for handling materials about to expire

  • Regular checks: Schedule periodic warehouse checks to detect lots about to expire
